Team seats and workspaces: inviting editors and running several clients in one account

How to invite people to your Brieva account, what owners, admins and editors can each do, how invitations are matched, and how workspaces keep client newsletters apart.

The short version

  • Invite by email from Team & workspaces. The invitee signs up with that exact address and lands in your account instead of getting their own.
  • Owner and admins manage everything. Editors run newsletters, issues and subscribers but cannot touch billing, domains, webhooks, the team or workspaces.
  • Pro includes 3 seats and Scale 10, counting the owner and pending invitations.
  • A workspace is a separate space with its own newsletters, sending domains and subscribers. Scale accounts can have up to ten and switch between them from the header.
  • Removing someone keeps their login working but moves them out of your account entirely.

Inviting someone

Open Team & workspaces from the account menu. Under Invite by email, enter their address, choose Editor or Admin, pick the workspace they should land in if you have more than one, and click Send invitation. They receive an email with a link to the sign-up page.

The invitation is matched on the email address. They must create their Brieva account with exactly that address and confirm it; a sign-up with a different address creates a separate, unrelated account. Invitations last 14 days and can be revoked from the same page at any time until accepted.

Someone who already has a Brieva account under a different organisation cannot be invited; the page tells you. Ask them to sign up fresh with a different address, or contact us to move them.

What each role can do

Owner: the person who created the account. Everything, including billing. There is exactly one owner and the role cannot be reassigned from the app.

Admin: everything the owner can do except that the owner cannot be removed or demoted by an admin. Use it for a partner or an operations lead.

Editor: create and edit newsletters, run tests, approve, revise and schedule issues, manage subscribers and tags, view analytics. Editors cannot see Billing, add or remove sending domains, manage webhooks, invite people, or create workspaces. Use it for a writer, a marketing assistant or a client contact you want reviewing their own newsletter.

Owners and admins can change a member between Admin and Editor from the People table.

Removing a member

Click Remove beside their name. They lose access to every workspace in your account immediately. Their login keeps working: they are moved to a new, empty, free account of their own so nothing they do afterwards touches yours. Revoking a pending invitation simply deletes it.

Workspaces

A workspace is a container: newsletters, sending domains and subscribers belong to exactly one. Every account starts with one workspace. On Scale you can create up to ten, which is how an agency runs each client separately: their own newsletters, their own domain, their own subscriber lists, with nothing shared by accident.

Create a workspace from Team & workspaces and give it the client's name. A selector then appears in the app header; choosing a workspace switches the whole app to it, dashboard included. The selection is remembered in your browser. Rename a workspace from the same page.

Sending domains are per workspace. A domain verified in one client's workspace is not available to another's, so each client's mail always goes out under their own name.

People and workspaces together

Every member can work in every workspace of the account; the workspace chosen at invitation is only where they land first. If you need a client contact who can see only their own newsletter, that is a separate Brieva account for the client rather than a seat in yours, and you can be invited into theirs as an editor.

Seats and workspaces are counted at the account level: three seats on Pro whether you use one workspace or several.
